This notice explains how Soho Global Trading Ltd uses personal information when you browse Soho Global Trading websites or send an enquiry about matcha, alcohol, mahjong or wholesale supply.

Who is responsible

SOHO GLOBAL TRADING LTD (company number 14815247, registered in England and Wales) is named as the data controller for personal information collected through these websites, pending final confirmation of how the related Soho Global Trading registered business should also be described.

What this website does and does not do

These websites provide information about Soho Global Trading products and services. They do not offer an online checkout or accept card payments. Availability, pricing, collection, delivery and any resulting sale are discussed and confirmed separately with Soho Global Trading Ltd.

Sending a website enquiry or opening a WhatsApp draft does not by itself create a contract or guarantee that an order will be accepted.

Information we collect

Depending on how you contact us, we may receive:

  • Your name, telephone number, email address and business details.
  • Products, quantities, dates or services you ask about, and anything you include in a message.
  • Technical information such as browser type, page viewed and approximate usage patterns when analytics is enabled with your consent.

The alcohol age gate stores a simple confirmation that you are 18 or over in your browser’s local storage and in a functional, root-scoped cookie named soho_age_ok. We do not ask for or store your date of birth through the age gate.

If an enquiry becomes a confirmed order or reservation, we may also keep order details, prices, fulfilment status and related business notes in our protected operational systems.

How and why we use information

  • To respond to your enquiry and discuss availability, pricing, bookings or supply terms.
  • To take steps you request before entering into a contract and to administer any later confirmed order or reservation.
  • To operate, secure and improve the websites, including consent-based first-party analytics.
  • To comply with legal obligations and keep appropriate business records.

Our lawful bases include taking steps at your request before a contract, performing a contract where one is formed, complying with legal obligations, and our legitimate interests in operating and protecting the business. Where analytics is used, we rely on your consent.

We do not use information submitted through website enquiries to send direct marketing. Submitting an enquiry does not add you to a marketing list and does not create marketing consent.

How enquiries are handled

Alcohol wholesale enquiries may be submitted through a website form that, when configured, delivers email through Resend. Matcha and mahjong pages prepare a WhatsApp message only after you choose to continue; nothing is sent until you send that message in WhatsApp. WhatsApp is operated by Meta and processes information under its own terms.

Please do not send payment-card details or identity documents through an initial website or WhatsApp enquiry.

Service providers and sharing

We use trusted providers to host and operate the websites and related services, including:

  • Vercel — website hosting and delivery.
  • Supabase — protected operational and business records where used.
  • Resend — email delivery for configured wholesale enquiries.
  • WhatsApp / Meta — messaging when you choose to continue in WhatsApp.
  • Google Fonts — typography loaded with pages (see Cookies).
  • Google Maps — embedded map only if you allow external media (see Cookies).

We do not sell personal information. We may also disclose information where required by law or to professional advisers supporting the business. Some providers may process data outside the UK using appropriate safeguards where applicable.

Website technologies

Google Fonts are loaded when you open our pages. Your browser sends technical information to Google when requesting font files. We have not self-hosted these fonts at present.

Google Maps is not loaded automatically. An embedded map is shown only if you allow external media through cookie settings. Until then, we show a text address and a directions link instead.

With your permission, Soho Global Trading uses first-party, consent-gated analytics to understand aggregate visits and actions such as viewing a section, choosing an enquiry button or reaching a form step. Events include a random session identifier, site, page, language and a limited action label. Form entries, names, messages, email addresses, telephone numbers and postal addresses are deliberately excluded. We do not use Google Analytics, Meta Pixel, reCAPTCHA, advertising cookies or cross-site tracking.

You can decline analytics and continue using every site normally. Your choice is stored in your browser and can be changed using . See our Cookie Policy for more detail.

Retention and security

We aim to delete ordinary enquiry information from our active systems within seven days of receipt unless it becomes necessary for a confirmed order, transaction or legal record. Enquiries sent through WhatsApp are also processed by WhatsApp/Meta. Limited residual copies may remain temporarily in secure provider backups until they are overwritten under the provider’s normal backup cycle.

Ordinary website enquiry records in our database are removed by a daily automated cleanup once they are more than seven days old. Consent-based analytics events are normally retained for no more than 13 months (395 days). Confirmed order, invoice, accounting, fraud-prevention and legal dispute records may be kept longer where required by law and are separated from abandoned enquiries.

Staff access to protected systems uses role-based permissions and authenticator verification where configured. No internet transmission can be guaranteed completely secure. We do not use automated decision-making that produces legal or similarly significant effects about you.

Your rights

Under UK data protection law, depending on the circumstances you may have the right to access, correct, erase, restrict or object to processing of your personal information, and to data portability where applicable.
